How a Babysitting Business Automated Their Booking & Payment Process and Stopped Losing Clients Over Missed Follow-ups.
Client: USA based Babysitter booking company.
Project Goal: Creating automated booking system—sending payment link with personalized email. Additionally, booking confirmation email to business owner, save details automatically in their database.
A babysitting business owner was struggling to manually send payment links after customers booked appointments on her website. We built a simple automation system that sends instant confirmation emails with payment links and syncs bookings directly to her Google Calendar.
Here’s how we did it — step-by-step.
💡 1. The Challenge:
My client approached me with a problem — whenever her customers booked a babysitter appointment through her website, she had to manually send an email or message with the payment link.
But this is where she felt uncomfortable and overwhelmed. Most of the time, she could send the link quickly after a booking — but sometimes she’d be out driving, in a client meeting, or just busy with other things. Because of that, she sometimes missed sending the payment link, which led to customers cancelling their appointments.
It was frustrating for her to see bookings get cancelled just because she couldn’t respond promptly. That’s when she started looking for a business automation strategist — yeah, that’s me.
⚙️ 2. The Goal
We wanted to make sure that:
- The client never had to manually send a payment link again.
- Customers automatically received a confirmation email and payment link right after booking.
- All booking details were stored in one place for easy tracking.
- The client could always see her confirmed bookings synced with her Google Calendar — so no more missed or overlapping appointments.
🔧 3. The Solution
When I spoke to her, I took a few minutes to understand her current workflow, pain points, and preferences.
At first, I pitched ideas like a WhatsApp bot, or adding payment details directly in the booking form with a QR code. But those didn’t really interest her.
Then I said — “Okay, let’s imagine this: parents land on your booking page, they fill in their details and book a slot. Right after that, they get a confirmation notification like ‘Happy to book our babysitter! Your payment link has been sent to your email — complete the payment to confirm your slot.’ Then, automatically, a personalized welcome email with the payment link goes straight to the customer.”
That clicked instantly. She loved that idea.
And I added more value — once parents fill the form, their booking details will be stored automatically in Excel. After successful payment, the business owner will receive a booking confirmation email, and that slot will be added to her Google Calendar automatically.
She was really impressed, gave me the login credentials, and I simply set up the entire automation workflow.

- Google Sheets (to store booking data)
- Zapier (for automation)
- Gmail (for personalized automated emails)
- Google Calendar (for automatic slot updates)
Now the entire process runs smoothly from booking to confirmation — fully automated.

After implementing the automation:
- The business owner no longer needs to manually send welcome or payment emails.
- She doesn’t need to be online 24/7 or worry about missing bookings.
- Every confirmed payment automatically updates her Google Calendar.
- Her schedule never clashes — parents can only book available time slots.
- Most importantly, she stopped losing customers due to slow manual responses.
